Studio/Membership Terms & Conditions.
Memberships
Your membership allows you to attend a set number of group Pilates classes per week, depending on which membership you choose.
We know life can get busy – if you miss a class, unused credits will roll over for up to 1 month. After that, they’ll expire.
If your membership ends or is cancelled, any unused classes will also expire, so it’s always best to use them regularly.
Members are welcome to attend one class per day.
Payments
Membership fees are charged weekly in advance, using your nominated debit or credit card. A small processing fee applies to all credit and debit card transactions.
If a payment fails, the system will automatically retry after 3 days. If it’s still unsuccessful, fees may apply, and your bookings may be placed on hold until the payment is cleared.
It’s each member’s responsibility to ensure funds are available – this helps avoid interruptions to your classes.
Minimum Term & Cancellation
All memberships have a minimum term of 8 weeks. This allows you to really experience the benefits of regular Pilates.
After the initial 8 weeks, you’re free to cancel at any time with 14 days’ notice. Email pilates@thepilatesloft.com.au to request a cancellation.
Your membership will officially end 14 days after your request is processed. Any payments due during that period will still be deducted, and you’ll continue to have access to classes until your final payment expires.
In rare cases, The Pilates Loft may cancel a membership if studio guidelines are not followed.
Cooling-Off Period
Every new membership comes with a 7-day cooling-off period from the date of purchase.
If you change your mind within that time, you won’t be held to the minimum 8-week term. Just email pilates@thepilatesloft.com.au to let us know.
Class Bookings & Cancellations
Classes must be booked in advance through our system (Momence app or via our website/your online Momence account).
If you can’t make it, please cancel at least 4 hours before the class begins. This gives someone else on the waitlist the chance to join.
Late cancellations (within 4 hours of the class start time) and no-shows will result in the loss of a class credit. If you’re on the Pilates Unlimited membership, a $10 late-cancellation/no-show fee will be automatically applied to your account. To avoid losing your class credit, please cancel at least 4 hours before class so we can offer your spot to another member.
Cancellations must be made via your account (The Pilates Loft Momence app or via our website/online Momence account). We do not accept email or phone cancellations.
Waitlist
If a class is full, you can join the waitlist. Should a spot become available (up to 1 hour before the class starts), you’ll be automatically added to the class and notified by email or text.
If you can no longer make it, it’s your responsibility to remove yourself from the waitlist. This ensures other clients have the chance to attend and helps keep classes running smoothly.
Studio Etiquette & Safety
Please arrive at least 5 minutes early (10 minutes if it’s your first class). For safety reasons, late entry may not be permitted.
Grip socks are required in all classes for safety & hygiene purposes.
Out of respect for everyone, please refrain from attending class if you’re unwell or contagious.
We foster a safe and supportive environment – respectful behaviour towards instructors and fellow clients is expected at all times.
Age & Pregnancy
The minimum age for group classes is 14 years. Anyone under 18 must have written parental consent before starting.
If you’re pregnant, we recommend getting medical clearance before attending classes so you can feel confident and supported in your practice. It’s also essential to keep us updated throughout your pregnancy, especially if anything changes that may affect your safety in class.
Membership Suspensions
We understand that life happens – whether it’s travel, illness, pregnancy, or personal reasons, you can suspend your membership when needed.
Suspension requests must be emailed to pilates@thepilatesloft.com.au at least 7 days in advance.
Suspensions can’t be backdated.
The minimum suspension period is 1 week, and the maximum is 4 months per year.
During your suspension, no bookings or credits can be used. Direct debit payments will pause once your suspension is confirmed.
Extra Classes
If you’d like to attend more classes than your membership includes, no problem! Extra classes will be charged at your membership’s per-class rate:
1 Class/Week membership: $22.50 per extra class
2 Classes/Week membership: $20 per extra class
3 Classes/Week membership: $16 per extra class
This allows you to enjoy extra sessions whenever you want, keeping your Pilates practice flexible and consistent.
Appointments (Private 1:1 Studio Sessions)
Appointment fees are paid in full when you book (Momence app or via our website/your online Momence account). Payment confirms and holds your time.
You can cancel or reschedule up to 12 hours before your appointment and keep your payment for a future session.
Late cancellations & no-shows: If you cancel within 12 hours of the start time or do not attend, it will result in the loss of the appointment and payment.
Please cancel or reschedule through your Momence account (app or online). Email, phone, or message cancellations aren’t accepted.
Photography & Video
From time to time, classes may be photographed or filmed for marketing purposes.
If you prefer not to be included, please let us know in writing and we’ll ensure that you’re not featured.
Filming or photographing other clients without their permission is strictly prohibited.
Personal Belongings
Please keep your belongings neatly stored in the shelves provided.
Shoes and bags are not allowed on the studio floor – this keeps the space safe and clear.
Any lost property will be kept for 14 days before being donated or disposed of.
Health & Liability
Every client must complete a waiver before attending their first class.
It’s essential that you inform your instructor about any injuries, illnesses, or medical conditions before the class begins.
We may request medical clearance if needed to ensure your safety.
Always follow the instructor's directions carefully when using equipment to reduce the risk of injury.
Refunds & Transfers
We don’t offer refunds for memberships or class packs. In certain situations, studio credit may be provided at our discretion.
Any credits issued must be used within 6 months.
Memberships are non-transferable and non-exchangeable – they can only be used by the person whose name is on the account.
